What You’ll Do
- Overcommunicating: Project Administrators (PAs) make sure no one feels left out! Both external and internal customers are top of mind and always know what’s going on. If this were a game show, you’d be the “call a friend” friend.
- Documentation Management: This is where your master-level attention to detail comes in. You’ll be managing the full lifecycle of project files—collecting, verifying, certifying, filing, and (most importantly) finding it again later.
- Subtrade Synergy: Serve as the primary point of contact for external subtrades, building strong relationships to ensure project-critical documentation is collected accurately and on time.
- Financial Gatekeeping: Conduct meticulous file audits to support invoicing and file closure. You’ll be tasked with identifying and resolving financial discrepancies before they ever impact the bottom line.
- Making a Wide Variety of Friends: PAs have friends in Accounts Receivables, Payables, Operations, Scheduling—the list goes on. You are a true team player who connects the dots across departments.
- Discretion & Trust: Knowing what’s appropriate to share and what’s not. We are working with people’s personal details, so confidentiality and discretion are key to keeping our customers’ trust.
- Maintaining Order: Disaster projects are, well, disasters. You’ll use your strategic multitasking skills to manage your time independently, ensuring everything runs smoothly so life can resume and the world can start turning again. No pressure.
What You Bring
- The Right Attitude: A positive, “can-do” attitude, paired with being self-motivated and entirely comfortable working independently.
- Industry Experience: A strong background providing excellent customer service. Experience in the restoration or construction industry is a massive asset.
- Tech Savviness: You’re usually the one people come to with questions about their phone apps, and computers don’t scare you. You have the ability to pick up software intricacies quickly with little training.
- Software & Tools Expertise:
- Advanced user of Excel (you know your way around a spreadsheet).
- Proficient in Microsoft Office (Teams, Outlook, Word).
- Proficiency or familiarity with industry-specific tools, including XA.
- Workflow Mastery: Strong organizational and communication skills, with a proven talent for efficient workflow management.
- Industry Knowledge: Familiarity with construction and restoration industry terms and administrative expertise.
- The Essentials: A clean criminal record check
